What do FF&E and OS&E actually include in a hotel?

Everything that would fall to the ground if you turned the building upside down. That is the simplest way to explain it.

FF&E includes furniture, decorative lighting, and all the elements that shape the guest experience. OS&E includes everything from tableware and linens to operational equipment, supplies, and all the items required for the property’s daily operations.

What many people underestimate is that, although these elements are installed toward the end of a project, their planning begins much earlier. Every item involves a manufacturer, technical specifications, logistics coordination, and installation. The challenge has never been buying furniture. The challenge is ensuring everything arrives at the right place, at the right time, and ready to operate.

When should the FF&E procurement process begin for a hotel?

Between 12 and 18 months before the expected opening date, depending on the complexity of the project.

Manufacturing, importing, approving samples, coordinating deliveries, and completing installation require significantly more time than is often expected when reviewing a project timeline on paper. Many projects begin focusing on furniture once construction is already well underway, by then, many critical decisions should have been made months earlier.

The best time to solve a procurement issue is before it becomes a problem. That is why we prefer to be involved from the early stages, when decisions can still be made strategically rather than under pressure.

What are the advantages of working with a company specialized in hospitality procurement?

Managing a hotel project is very different from simply purchasing for one. A project may involve hundreds of products, dozens of suppliers, multiple deliveries, specification changes, samples, approvals, and critical deadlines.

The true value is not just finding the right products. It is coordinating every component so the project moves forward efficiently, and ensuring the client has a single point of contact throughout the entire process, without having to manage each supplier individually.

What typically causes delays in hotel openings?

Almost never one major issue. More often, it is hundreds of small decisions accumulating over time.

A late design change. A pending sample approval. A product requiring additional manufacturing time. An installation depending on another activity that has not yet been completed. Hotel openings are rarely delayed by a single decision, they are delayed by the accumulation of all the decisions that were postponed.

What happens to furniture and equipment after a hotel opens?

Opening day is often seen as the final milestone. In reality, it marks the beginning of the longest stage of the project.

From that moment forward, assets begin to be used every day. Wear, incidents, warranties, repairs, and replacement needs start to emerge. A hotel may take two years to build and operate for twenty years. That is why more owners are focusing not only on the initial purchase, but also on managing assets throughout their entire lifecycle.

What is the most costly mistake commonly made during FF&E and OS&E procurement?

It is not necessarily a bad purchase. It is the mistakes that go unnoticed until they are too late to fix.
